Privacy policy.
How DP Landscapes Ltd collects, uses and looks after the information you share with us. Last updated 6 November 2026.
We keep this simple: we only collect what we need to answer your enquiry and do the work, we don’t use it for marketing, and we never sell it. This policy explains the detail, as required by the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
This website is run by DP Landscapes Ltd (“DP Landscapes”, “we”, “us”), a landscaping company based in Nantwich, Cheshire. We are the data controller for personal information collected through this website, which means we decide how and why it is used.
- Company
- DP Landscapes Ltd, registered in England and Wales, company no. 17192098
- Registered office
- 197 Crewe Road, Willaston, Nantwich, Cheshire, CW5 6NE
- Phone
- 07774 512888
We are a small business and haven’t appointed a Data Protection Officer. Dan, our founder, is responsible for data protection. Contact him using the details above.
2. What we collect
Information you give us
- Through the quote form: your name, phone number, email address, the service you’re interested in and your description of the work.
- By phone, email or in person: your contact details, the address of the job, and anything you tell us about the work, including photos or measurements you choose to send.
- If you become a customer: details needed to agree, carry out and invoice the work.
Information collected automatically
- Security information: when you use the quote form we process your IP address and basic browser signals to block spam and abuse. This includes a short-lived count of form submissions per IP address and an Apexia Captcha security check.
- Server logs: like almost all websites, our hosting provider keeps standard logs of requests (IP address, date and time, pages requested, browser type) to keep the site running and secure.
What we don’t collect
We don’t use analytics, advertising or social media tracking, and we don’t build profiles of visitors. Please don’t send us sensitive information, such as details about your health, in your enquiry. We don’t need it to quote for landscaping work.
3. How we use it, and our lawful basis
Data protection law requires a lawful basis for each way we use personal information. Ours are:
| Purpose | Information | Lawful basis |
|---|---|---|
| Responding to your enquiry and preparing a quote | Name, contact details, service, description of work | Steps taken at your request before entering into a contract (Article 6(1)(b)) |
| Sending you a confirmation that we received your enquiry | Name, email address, your enquiry | As above (Article 6(1)(b)) |
| Carrying out and invoicing work you’ve agreed | Contact details, job address, job details | Performance of a contract (Article 6(1)(b)) |
| Keeping accounting and tax records | Customer and invoice details | Legal obligation (Article 6(1)(c)) |
| Protecting the website and quote form from spam and abuse | IP address, browser signals, server logs | Our legitimate interest in running a safe, working website (Article 6(1)(f)) |
We never use your enquiry to send you marketing, and we don’t make decisions about you by automated means alone.
4. Who we share it with
We use a small number of trusted service providers to run the website and handle enquiries. They act as our processors: they may only use your information on our instructions, under contract, and must keep it secure.
| Provider | What they do for us | Where data may be processed |
|---|---|---|
| Amazon Web Services (Amazon SES) | Delivering quote form enquiries to us and sending your confirmation email | UK (London region); AWS may access data from other countries, including the United States, to provide the service |
| Apexia (Apexia Captcha) | Security check on the quote form to tell people and bots apart | As set out in our contract with Apexia |
| Our website hosting provider | Hosting this website and its server logs | As set out in our hosting contract |
| Our email hosting provider | Hosting our business mailbox | As set out in our email hosting contract |
We may also share information with our accountant (for business records), with insurers or professional advisers if needed, or where the law requires it. We never sell, rent or trade your personal information.
5. International transfers
Some of our providers process information outside the UK, including in the United States. When that happens we make sure appropriate safeguards are in place, such as the UK Extension to the EU-US Data Privacy Framework (for certified providers) or the UK International Data Transfer Agreement or Addendum, so your information keeps a level of protection equivalent to UK law. Contact us for more information about these safeguards.
6. How long we keep it
- Enquiries that don’t go ahead: deleted within 12 months of our last contact with you.
- Customers: kept with the job records for as long as we need them for the work, any guarantees or follow-up, and for the period the law requires for business and tax records (usually six years from the end of the financial year).
- Security data: form rate-limit counts are discarded after 10 minutes; server logs are kept for our hosting provider’s standard rotation period.
7. Cookies and tracking
This website does not use cookies, analytics, advertising pixels or other tracking technologies, so there’s no cookie banner to accept.
When you open the quote form, it loads Apexia Captcha, a security check run by our web provider. Your browser solves a small puzzle to show it isn’t a bot, which involves sending your IP address and basic technical information to Apexia’s server. It doesn’t set cookies, and it is used only to protect the form, not to track you or show adverts. If you’d rather not use the form, you can call or email us instead.
8. Your rights
Under UK data protection law you have the right to:
- Access your information: ask for a copy of what we hold about you.
- Rectification: ask us to correct anything that’s wrong or incomplete.
- Erasure: ask us to delete your information, unless we need to keep it (for example, for tax records).
- Restriction: ask us to limit how we use your information while a concern is looked into.
- Objection: object to us using your information on the basis of legitimate interests.
- Portability: ask for information you gave us in a commonly used electronic format.
How to make a request: email info@dplandscapes.co.uk or call 07774 512888. We may ask you to confirm your identity. There’s normally no charge, and we’ll respond within one month (this can be extended in limited circumstances, and we’ll tell you if so).
9. Security
We take sensible steps to protect your information: the website runs over an encrypted (HTTPS) connection, the quote form is protected against spam and abuse, credentials are kept out of the website’s public files, and access to enquiries is limited to the people who need it. If a data breach occurs that’s likely to affect your rights, we’ll report it to the Information Commissioner’s Office within 72 hours and tell you directly where the law requires.
10. Children
Our services are for adults arranging work on their property. This website isn’t aimed at children and we don’t knowingly collect information from anyone under 18.
11. Complaints
If you have a concern about how we’ve handled your information, please contact us first and we’ll do our best to put it right. You also have the right to complain to the UK’s data protection regulator:
- Information Commissioner’s Office
- Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF
- Helpline
- 0303 123 1113
12. Changes to this policy
We’ll update this page if the way we handle personal information changes, for example if we add new services to the website. The date at the top shows when it was last revised.
